Getting started

How do I become a new patient?

Complete our New Patient Registration Form. Once submitted, our intake team will review your information and contact you about the appropriate next step, which may include an intake assessment or scheduling with a provider.

Do you take walk-ins?

No. Clearwave does not accept walk-in appointments. Please complete our New Patient Registration Form or call our office to get started.

Appointments & scheduling

Do you offer telehealth or in-person visits?

Many Clearwave providers offer both telehealth and in-person appointments. Availability depends on the provider, service, location, and your clinical needs.

Do I have to be in New York for my telehealth appointment?

Yes. You must be physically located in New York at the time of your Clearwave telehealth appointment. Your provider may ask you to confirm your location at the beginning of the visit.

What happens if I miss an appointment?

Please contact us as soon as possible to reschedule. A late-cancellation or missed-appointment fee may apply under Clearwave’s cancellation policy.

What is the cancellation policy?

Please cancel or reschedule at least 48 hours before your appointment. Monday appointments must be canceled or rescheduled by noon on the preceding Friday. Late cancellations and missed appointments may be charged up to $100 as described in our cancelation policy.

What happens if I need a crisis appointment?

During regular business hours, established patients may call our office at (845)-471-1807. Our team will assess the request and help determine the appropriate next step based on clinical urgency and availability. Clearwave does not provide emergency services. For crisis support, call or text 988. For immediate physical danger or a medical emergency, call 911 or go to the nearest emergency room.

Is there an on-call provider?

An on-call prescribing provider is available after hours for urgent clinical concerns involving established patients. The on-call service is not intended for appointment scheduling, routine refills, forms or medical emergencies.

What happens if I need help and the office is closed?

Established patients may call the main office number and follow the prompts for urgent after-hours clinical concerns. Routine messages will be addressed during normal business hours. For crisis support, call or text 988. For immediate danger or a medical emergency, call 911.

How often will I need to be seen?

Appointment frequency depends on your diagnosis, medications, symptoms, and progress. Visits may be more frequent when beginning or adjusting treatment, and less frequent once your condition is stable.

Do you offer evening or weekend appointments?

Some providers offer extended hours. Availability varies by clinician and location, so please contact our team for current options.

Treatment & care

Do you offer stand-alone psychological evaluations?

Certain evaluations may be available for established Clearwave patients based on the purpose of the evaluation and provider availability. Clearwave does not generally offer one-time external psychological testing or forensic evaluations. Contact our team to discuss your specific request.

Do you offer therapy/counseling in addition to medication management?

Yes. Clearwave provides therapy through licensed clinical social workers and mental health counselors. Standalone therapy availability for new patients is currently limited and is generally offered as part of coordinated care for established Clearwave patients. Contact our team for current availability.

Will I always see the same provider?

Patients are generally assigned a primary provider to support continuity of care. If that provider is unavailable, another qualified clinician may assist with urgent needs when appropriate.

Do you coordinate care with my primary doctor or therapist?

Yes. With your written authorization, we can communicate with outside providers and share relevant information to support coordinated care.

Do you have providers that speak other languages?

Clinical services are currently provided primarily in English. Contact our team to discuss any language-access or communication needs before scheduling.

What is TMS?

Transcranial Magnetic Stimulation, or TMS, is a non-invasive treatment that uses targeted magnetic pulses to stimulate areas of the brain. FDA-cleared devices and protocols are available for major depressive disorder and certain patients with OCD. Visit our TMS Therapy page for more information.

What is Spravato®?

Spravato® (esketamine) is an FDA-approved nasal spray for adults with treatment-resistant depression. It may be used alone or with an oral antidepressant and is administered under medical supervision at a REMS-certified treatment center, with monitoring for at least two hours after each treatment. Can you prescribe stimulants, benzodiazepines, or other controlled substances?

Clearwave clinicians may prescribe controlled medications when they determine that treatment is clinically appropriate and consistent with applicable laws and Clearwave policies. A prescription is never guaranteed, and these medications may require additional evaluation, monitoring, and refill requirements.

Can you send my prescriptions out of state?

Clearwave generally sends prescriptions to pharmacies located in New York. If you are traveling or need to use an out-of-state pharmacy, contact your care team before the prescription is due.

Prescriptions & refills

How can I request a refill?

For non-controlled medications, contact your pharmacy first and ask them to send Clearwave an electronic refill request. For controlled medications, fill out our online refill request form.

How soon should I request a refill?

Submit refill requests at least three to five business days before you expect to run out. Requests received after hours, on weekends or on holidays will be reviewed during normal business hours.

Insurance & billing

What insurance plans do you accept?

Clearwave participates with many major insurance plans. Participation varies by provider, service, and location, contact our team to confirm coverage or contact your insurer to confirm your specific benefits.

Do you offer self-pay rates or a sliding scale?

Self-pay rates are available for patients who do not use insurance. We do not offer a sliding scale rate. Contact our billing team for current rates and payment information.

What if you don't accept my insurance?

You may choose to self-pay. When appropriate, we can provide a superbill that you may submit to your insurer for possible out-of-network reimbursement. Reimbursement is determined by your insurance plan and is not guaranteed.

Do you accept Medicare and Medicaid?

Clearwave participates with Medicare and select Medicaid managed-care plans. Participation varies by provider, service, location and specific insurance product. Contact our team before scheduling.

How can I make a payment?

You can pay through the secure link included with your statement or call (845)-471-1807 and follow the billing prompts.

Do you charge for forms, letters, or paperwork?

Yes, administrative fees may apply for forms such as disability, FMLA, or letters that are done outside of a scheduled appointment.

What if I need a prior authorization?

Our team will submit prior-authorization requests when required and when we have the necessary clinical information. Your insurer makes the final coverage decision, and processing times vary. Please allow several business days and respond promptly if our team requests additional information.

What technology do I need for telehealth?

You will need a reliable internet connection, a device with a camera and microphone, and a private location where you can speak comfortably. Your provider may require an in-person appointment when telehealth is not clinically appropriate.

Who are your providers?

Our team includes psychiatrists, psychiatric nurse practitioners, psychologists, licensed clinical social workers, and licensed mental health counselors.

Is there a waitlist for providers who aren't taking new patients?

Clearwave does not generally maintain individual provider waitlists. If your preferred provider is unavailable, our intake team can help identify another appropriate provider based on your needs, location, insurance, and availability.
